MINUTES OF A MEETING OF THE PAEROA WARD COMMITTEE HELD IN THE COUNCIL CHAMBERS, WILLIAM STREET, PAEROA ON TUESDAY 9 MAY 2006 COMMENCING AT 12.30PM

MATTERS ARISING FROM THE MINUTES

RSA Commemorative Statue Project – Paeroa Memorial Hall

The Mayor updated the members on the status of the proposed veteran’s commemorative project which Gill Munro and Eddie Kemp have undertaken together with the RSA. They are in the process of finalising an appropriate commemorative statue to be placed in front of the Paeroa Memorial Hall. It was advised that the funding for this project will be provided by the $5,000 grant received from the Veterans Affairs Department as part of their ‘Year of the Veteran’ initiative. It was suggested that an award ceremony supper also be organised to honour our local ex serviceman and women.

The Community Services Manager advised he will liaise with Eddie regarding the project and a proposed award ceremony.

Paeroa Streetscape

Discussion was held regarding the removal and replacement of a number of trees located in Normanby Road which have been recognised as unsuitable for inclusion in the Paeroa Streetscape Project due to their size and maintenance requirements. To identify the issues raised concerning the street trees, the members undertook an on site inspection to view the trees and to assist the Committee in determining what should be done about them. It was suggested that if the trees are to be removed, that the Committee investigate the sourcing of more suitable species for their replacement.

COMMUNITY SERVICES MANAGER’S MONTHLY REPORT (01.002.021) (30KB)

The Community Services Manager’s monthly report on activities was presented for the Committee’s consideration.

REQUEST FOR FINANCIAL ASSISTANCE

Special Olympics Thames Valley (IM246819)

The Secretary of the organisation has written advising of their upcoming event and has requested financial assistance towards the hall hire costs in which they wish to hold their annual Bowls Triple Ribbon Day on Saturday, 29 July 2006.

The Mayor advised the Committee that at the earlier meeting of the Plains Ward Committee, they had suggested that all three Wards jointly contribute to the hall hire costs due to the fact that some of the participants involved in the event will be from the Plains, Paeroa and Waihi areas. He advised that the Plains Ward Committee agreed to assist with a total amount of $100.00 and invite the Paeroa and Waihi Wards to match this amount.

RESOLVED

THAT the Paeroa Ward Committee contribute $100.00 from the Paeroa Ward Discretionary Fund towards the hall hire costs in support of the Special Olympics Thames Valley event.

Paeroa Baptist Church (IM246783)

The Event Organiser and Senior Pastor Paeroa Baptist have requested some sort of sponsorship for prizes for the quiz night they are intending to hold as a fundraising event in support of community and youth initiatives. The quiz night is to be held at the Paeroa Baptist Church on Saturday, 13 May 2006.

RESOLVED

THAT the Paeroa Ward Committee contributes $100.00 to the Paeroa Baptist Church to assist with their event.

Paeroa RSA Cemetery (02.301.001)

The Community Services Manager outlined the programme for the upgrade of the RSA Cemetery. As discussed at the April meeting, it was proposed that the cemetery extension project be cancelled and that only the upgrade of the car park be undertaken in the 2007/08 year. It was advised that the amount of $20,000 allocated for the extension project remain at that value.

RESOLVED

THAT the Ward Committee approves of the cancellation of the RSA cemetery extension project planned for 2007/08 and replaces that project with a car park (at the RSA cemetery). That the estimate for the extension is $20,000 and for the purposes of the change of work item process, it can remain at that value until the design evaluation is completed.

Grass Mowing

The Community Services Manager advised the Committee that he is presently evaluating the mowing programmes for the Wards with a view to producing a draft agreement completed within the next two months as to the frequency of mowing the various facilities and sites around the Paeroa Ward. It was advised that the purpose for this agreement is to put some form of control over the management of this item of maintenance.
