Lighting - Pipiroa Road, Ngatea
The District Engineer advised that single outreach lights will be installed on the eastern side of Pipiroa Road and a one double header light will be placed outside the scout hall.

REQUEST FOR FINANCIAL ASSISTANCE (20.030.001)
The Plains Ward Committee has been allocated $3,000 for discretionary grants during this financial year. The committee has allocated $100 to TVSO leaving a balance of $2,900.
TURUA DAYCARE INC. [IM290118]
A request from the Vice President of the Turua Daycare for assistance with consent costs for the expansion of their facilities at Turua has been received. The applicant advises that they plan to extend the time of operation and to allow extra children to attend the new facility.
The minimal cost for the consent application is $745.00
RESOLVED
THAT the Ward grants $800.00 to the Turua Daycare Inc. in support of their request to be sourced from the Community Facilities and Recreation Development Fund.

NGATEA SWIMMING POOL UPGRADE
The Parks and Reserves Manager advised of the meeting between the CEO, Staff and the contractor engaged to carry out the upgrade at the swimming pool. The contractor has agreed to address issues within the Plant Room. Staff has sought the cost of installing a pipe in the swimming pool, as well as fixing the existing jets on the exterior of the pool at a cost of approx. $7,500.
NGATEA DOMAIN - DRAINAGE IMPROVEMENTS TO SOCCER FIELD AND NO. 2 RUGBY FIELD
A request has been received from the Ngatea Soccer Club that the Ward Committee consider installing better drainage under the soccer field. A letter from the club requesting a solution to their ongoing problem was presented.
The Park and Reserves Manager advised that the Contractor has priced the piping and drainage of the soccer field. It was suggested that as the soccer field and the No. 2 rugby field both require drainage improvements, this work be undertaken to both fields at the same time. It was therefore requested that the Parks and Reserves Manager seek prices for the improvement of drainage to both fields.
RESOLVED
THAT staff seek prices for the cost of installing drainage pipes under the soccer field and No.2 rugby field and that the Soccer Club is advised of this decision.

NGATEA MAIN STREET TREES
At the Ward meeting in September, it was decided that the species of trees planted in the main street of Ngatea be changed from Melia’s to Box Elder’s. The Parks and Reserves Manager advised that as staff had planted the replacement Melia trees prior to being notified of the Ward Committee’s decision, it was suggested these trees remain and that Box Elders be planted for any future tree plantings in the main street.
RESOLVED
THAT the Melia trees that have been planted are not replaced
AND THAT any future trees that need to be replaced in the main street are replaced with Box Elders.

Minutes of the Ngatea Hall and Domain Management Committee meeting held on Thursday 20 July 2007 were presented for the information of the Committee.

THAT the minutes of the meeting of the Ngatea Hall and Domain Management Committee held on Thursday 20 July 2007 be received and the recommendations contained therein, adopted.

GENERAL BUSINESS
There was no general business.
LATE ITEMS OF BUSINESS
HAURAKI NORTH RUGBY FOOTBALL CLUB - REQUEST FOR FINANCIAL ASSISTANCE TO RE-ROOF PART OF THE DOMAIN BUILDING
A letter was tabled from the Hauraki North Rugby Football Club requesting financial assistance from the Ward towards the re-roofing of the main part of the building in the Waitakaruru Domain. A copy of a quote received for the work was presented.
The members supported the funding request ‘in principle’ subject to the Club seeking other funding sources and that two further quotes be sought for the re-roofing to determine exactly what work is required and at what cost.
The members considered that the ownership of the building needs to be established before any work is undertaken to the bulding. It was therefore decided that Cr Gordon and the Mayor meet with the Hauraki North Rugby Football Club and the Waitakaruru Domain Committee to confirm who actually has ownership of the building and to determine the maintenance and administration responsibility of it.
RESOLVED
THAT the Ward support the request in principle and request that staff seek two further quotes for the re-roofing and clarify with the club exactly what work is required, subject to the club seeking other funding sources
AND THAT Cr Gordon and the Mayor meet with the Hauraki North Rugby Club and the Domain Committee to discuss ownership of the building and to clarify future maintenance responsibility and administration of the building.

EXPRESSIONS OF APPRECIATION TO RETIRING MEMBERS
The Mayor and Plains Ward Councillors standing for re-election, thanked Cr Ian Troughton and Cr George Gray for their valued contribution to the Ward Committee over their years as Elected Members on Council and wished them well for their future endeavours.
The meeting closed at 10.50am.
