RECOMMENDATION

THAT the minutes of the meeting of the Waihi Ward Committee held on Monday 2 August 2004 be taken as read and confirmed.

MATTERS ARISING FROM THE MINUTES

5. COMMUNITY SERVICES

5.1 COMMUNITY FACILITIES MANAGERS MONTHLY REPORT (01.002.021) 6-23 (38KB)

The Community Facilities Managers monthly report on activities is attached for the Committee’s consideration.

RECOMMENDATION

THAT the Community Facilities Managers report be received

AND THAT the letter from Waihi Association Football Club be received

AND THAT approval be given to the Club to use the old Cricket Shed on Morgan Park, Waihi.

AND THAT Council enter into a formal written lease for the use of the shed, based on Council’s standard lease agreement

AND THAT a rental fee of $20.00 per year be charged

AND THAT the Final Design Plan, as attached, for Stage 1 of the Gilmour Reserve Development, be approved

AND THAT Contracts be prepared and tenders called for Stage 1.

5.2 REQUESTS FOR FINANCIAL ASSISTANCE (20.030.002) 24-28

The Waihi Ward committee was allocated $4000 for discretionary grants for this financial year. The Committee has allocated $1000 to Waihi Stroke Support Club leaving a balance of $3,000.

Waihi Volunteer Fire Brigade

A letter from the Secretary of Waihi Volunteer Fire Brigade advising us of a Gold Star Presentation event for Chief Fire Officer Murray Stevens, to be held in the Waihi Memorial Hall on Saturday 23 October 2004, has been received (IM199355-attached).

The brigade has booked the hall from 8:00am Saturday through to 4:00pm Sunday (24th October) and asks that the ($230.00) hire fee be waived. This fee also includes a crockery hire charge of $20.00.

Any bond (to cover any damages or work that has to be done by Council to affect any repairs) will be paid by the hirer.

RECOMMENDATION

THAT the request be received

AND THAT a grant of $230.00 from the Ward’s discretionary account to the hall account be made.

Waihi Golf Club Inc.

A letter from the Promotions Officer of the Waihi Golf Club advising us of their building project has been received (IM199608-attached).

The upgrade and repair (re-cladding) to their 50 year–old club house is set to cost in excess of $12,000 and, with fundraising ($2000) and anticipated grants from philanthropic trust, may leave them a shortfall of $5000. They seek financial assistance to cover the shortfall.

RECOMMENDATION

THAT the request be received

AND THAT consideration be given to this request.

5.3 REPORTS FROM COMMITTEE MEMBERS ATTENDING COMMUNITY MEETINGS

Committee members reported on community meetings that they had attended.

6. CORPORATE SERVICES

6.1 FINANCIAL REPORT (01.001.025)

No financial reports were produced this month as the reports would only cover one month's results. Staff effort is being directed at the production of the Annual Report.

7. ENGINEERING SERVICES

7.1 ROADING: MONTHLY REPORT (01.001.029) 25-39(43KB)    Appendix 2 (Graphs) (1010KB)

The Roading Manager’s monthly report to the Works Committee is attached.

RECOMMENDATION

THAT the report be received

AND THAT the new kerb and channel for Adams Street proceed as described above at estimated cost of $63,000

AND THAT the option one footpath extension at an estimated cost of $15,380 be constructed in combination with the Dillimore Service Lane.

7.2 UTILITIES MANAGER’S MONTHLY WATER SUPPLY REPORT (01.001.028) 44-47 (25KB)

The Utilities Manager’s monthly report to the Works Committee is attached.

RECOMMENDATION

THAT the report be received.

7.3 UTILITIES MANAGER’S MONTHLY WASTEWATER AND REFUSE REPORT 48-50 (25KB)

7.4 DRAINAGE: MONTHLY REPORT (01.001.020) 51-53 (19KB)

The Drainage Manager’s monthly report to the Works Committee is attached.

RECOMMENDATION

THAT the report be received

AND THAT 30m of open drain in 3 Gladstone Road be piped with 750mm diameter pipe, plus one manhole, at an estimated cost of $10,500, on the basis of the adjoining owner meeting a one quarter share.

GENERAL BUSINESS

8.1 OCTOBER WARD MEETINGS

It is proposed that no Ward Committee meetings be held in October 2004 as the meetings would be in the last week of polling, and there would not be a subsequent Council meeting to confirm any recommendations made. There is unlikely to be any critical items of business that the Ward would need to consider at this time.

RECOMMENDATION

THAT it be recommended to Council that there be no Ward Committee meetings in October 2004.
