Pursuant to Section 46A(7) of the Local Government Official Information and Meetings Act 1987, the Chairman is to call for late items to be accepted.
In the event of a late item, an explanation must be given as to why the item was not on the agenda and why discussion cannot be delayed for a subsequent meeting.
3. WARD APPOINTMENTS (375659)

RECOMMENDATION
THAT the report be received

4. COMMUNITY SERVICES

The Community Services monthly report on activities is attached for the Committee’s consideration.
RECOMMENDATION
THAT the Community Services monthly report be received.
REQUEST FOR FINANCIAL ASSISTANCE
The Waihi Ward Committee has been allocated $7000 for discretionary grants during this financial year. The Committee has allocated $500 to Whiritoa Surf Life Saving Club, $100 to Thames Valley Special Olympics, $795.00 to Waihi Summer Festival, $200 to Waihi Community Resource Centre, $300 to Bill Doyle, $160 to Creative Waihi, $105 to Bosom Buddies, and $55 to Waihi Rotary Club leaving a balance of $4,785.00.
WAIHI MINISTER’S ASSOCIATION – WAIHI MEMORIAL HALL (363296)
A letter from the Secretary of the Waihi Minister’s Association is attached requesting a waiver of the hall hire fee. The association wish to hold their annual combined churches Christmas carol service on the evening of Saturday 15th of December 2007.
RECOMMENDATION
THAT consideration be given to this request.
WAIHI CROQUET CLUB
The Waihi Croquet club has written to the Ward requesting financial assistance with the purchase of a ride on mower for the on going maintenance of their greens. I have met with a delegation and we inspected their existing mower and it is unable to be repaired Their letter is attached with the quoted cost information.
RECOMMENDATION
That consideration be given to this request.
GILMOUR RESERVE
A request has been made by Creative Waihi to use Gilmour Reserve for an "Art in the park "sales area during the summer months. This would be held on the first Sunday of the month when the model boats are sailing at the lake and between 5 and 10 artists would be setting up their art for sale. The area selected is to the east of the parking area. Letter attached.
RECOMMENDATION
THAT should Creative Waihi apply for Resource Consent, the Ward Committee would consider their initiative favourably provided their application contained appropriate provision in terms of the Reserves Management Plan and of course the District Plan.
TAURANGA ROAD TREES
A letter from the solicitors of the landowners at 13 Tauranga Road in Waihi requesting council meets the costs of clearing the leaves etc that the verge trees had deposited against the fence outside their property. Letter attached.
RECOMMENDATION
That the information be received
AND THAT a management plan be developed for the care of urban trees on public land and it be presented to the Ward Committee for approval and budget provision.
POHUTUKAWA TREES, WHIRITOA
A report is attached that explains the recent work that was urgently carried out in Pohutukawa Reserve. The work was caused by the dangerous state of several trees following a storm which had broken off some limbs and rendered other limbs to be dangerous to adjoining houses.
As the report states there should be an ongoing maintenance programme put in place to have tree care maintenance carried on a regular basis to minimise large expenditures in the future.
RECOMMENDATION
THAT a specific tree care budget be added to the Reserve estimates to cater for an on going maintenance programme.

5. GENERAL BUSINESS
5.1 ROAD NAMING REQUEST – WIREX SUBDIVISION (376297) 26-29
Attached is a report from the Corporate Services Manager requesting approval of road names newly created in the Wirex subdivision at Whiritoa.
RECOMMENDATION
THAT the naming of the roads created in the Wirex Subdivision, Lot DP 329044, Whiritoa be
Road 1 per the attached plan be named Dolphin Drive
Road 2 per the attached plan be named Ross Place.
