District Event Fund
The District Event Fund is open for events in the Hauraki District that meet the guiding principles and criteria, supporting events that benefit the community
The budget for this fund is set every three years through the Long Term Plan process.
Guiding Principles for Applicants
Safe and Inclusive - The applicants for event funding will be encouraged to address barriers to participation and should be run in a safe and responsible manner. (See our Event Toolkit guidance)
Financial Propriety - Any profits resulting from the event must not be disbursed to other organisations unless the other organisations have actively contributed to the event.
Environmental Impact - Applicants must be committed to ensuring their event has minimal environmental impact through waste minimisation plans, noise management and protecting the natural environment from damage.
Community Outcomes/Tupu Hauraki - The event should meet at least one of the District Community Outcomes and/or be a kaupapa Māori event driven by tangata whenua of Hauraki. These are events which grow, promote and share Tikanga Māori or contribute to Māori development.
Criteria
- Assistance will be available for locally run community events within the Hauraki District, where principal functions and/or activities are of a community (not-for-profit) nature.
- The Event Fund is not for the payment of wages or honorariums.
- Only one grant per organisation, per event, will be available in any financial year (1 July – 30 Jun the following year).
- Consideration will be given to the viability of the event as a whole and fundraising efforts already undertaken or planned.
- All applications must be accompanied by a statement of financial position for the applicant’s previous financial year and a budget projection for the event.
- Applications must be made on the Community Events Application Form.
- All applications must declare any conflict of interest that may exist with the Council, if relevant (for example, if a Councillor, or staff member is part of the event organising committee).
- All successful applicants must acknowledge the support of the Hauraki District Council on any correspondence, advertising or other publicity material.
- Any grant amount not spent on the project for which the funds were applied, must be returned to Hauraki District Council unless written approval to retain the funds is obtained.
- A report on the success of the event and evidence that the grant was spent appropriately must be provided within three months of the event completion.
Timeframes and Assessment
All complete applications will be assessed by Council staff against the above criteria. Applications received before the 15 March, June, September and December will be considered whilst funds last. Applicants will be notified of the outcome by the 15 of the month following these deadlines. Organisers can apply no more than 12 months before their event date.
