MATTERS ARISING FROM THE MINUTES
Turua Domain - Entranceway
It was asked that the District Engineer investigate options of making the entranceway into the Turua Domain more prominent for safety reasons.
The Mayor attended the meeting at 9.10am.
The Community Development Officer’s monthly report was presented for the Committee’s consideration.
THAT the Community Development monthly report be received.

Requests for Financial Assistance [CDV-30-100]
Hauraki Plains College and District Rowing Club (911630)
The Club President has written requesting assistance towards the construction of a pontoon (concrete jetty) that will be used for the launching and retrieval of their rowing boats.
In 2008 the club developed a five year strategic plan that included a floating pontoon. The first two years the club focussed on fundraising for new boats and in this the third year the club is taking the opportunity to concentrate on a new pontoon.
Waikato Regional Council is doing stabilisation work on the stop bank and has provided the club with 55 piles free of charge.
The club is asking Council for a contribution of $15,500.00 towards the cost of constructing the concrete jetty.
The Community Services Manager updated the members on the request.
A member believed that the application for funding should be supported by the District as it is a ‘District’ facility which may also have regional benefits.
The Chairperson asked the Committee if they were supportive of the project. The members advised that they were supportive of the project ‘in principle’ and recommended that the Hauraki Plains College and District Rowing Club give a presentation to the full Council along with the funding proposal. This should be timed for after they have been granted the necessary consents and have produced a funding business plan.
The Chairperson suggested the Committee defer the request until more detail of the full costs has been received.
THAT the correspondence from Hauraki Plains College and District Rowing Club be received, and
THAT the project is supported ‘in principle’ by the Plains Ward Committee, and
THAT the request be referred to Council for consideration of District funding, and
THAT they be invited to provide a presentation to Council giving more detail on the overall project.

Ngatea Volunteer Fire Brigade (862201)
The Chief Fire Officer for the Ngatea Brigade has written requesting assistance with refurbishing a fire engine.
The Ford V8 fire engine is the original machine purchased by Hauraki Plains County Council for the community, managed by the brigade and used for events such as A&P Show and Christmas Parade.
The writer has provided a list of items required to complete the refurbishment.
The Mayor offered $500.00 from the Mayoral Fund and the Ward agreed to match this amount.
THAT the correspondence from the Ngatea Volunteer Fire Brigade be received, and
THAT $500.00 is granted to the Ngatea Volunteer Fire Brigade from the Plains Ward Discretionary Fund.

Letter of Appreciation for Grant – Turua Hall & Domain Committee (918534)
A letter was presented from the Secretary of the Turua Hall & Committee thanking the Ward Committee for the grant of 1500.00 towards the hall kitchen upgrade.

Annual Plan Projects 2011/12 Carried Forward
Waharau Dump Station
The Community Services Manager updated the members on the work being undertaken to address the condition of the dump station tank. He explained that a second option is being looked at of decommissioning the existing tank and connecting straight into the neighbouring public toilet system.
Staff is currently having discussions with Auckland City on the matter.
Annual Plan Projects 2012/13
Orchard Road Public Toilet Renewals
A member queried the cost of $20,000 to upgrade the facility considering it seemed a high cost for the work required. The Community Services Manager indicated this was for a range of plumbing and partition replacement works and was expected to cost no more than $20,000.
Staff advised that the Community Facilities Manager is presently seeking prices for the purchase of a heat pump for the small hall.
THAT the minutes of the Ngatea Domain and Hall Management Committee held on Thursday 17 May 2012 be received.

Kaiaua Community Update
Cr Gordon (Council representative for Kaiaua) provided an update on community activities in the Kaiaua area.
He advised that he had attended the Kaiaua Citizens and Ratepayers monthly Committee meeting recently where he updated the group on the representation review.

The Chairperson asked the members if they could provide a brief update on any community meetings they have attended to future Ward meetings.
