MINUTES OF A MEETING OF THE WAIHI WARD COMMITTEE HELD IN THE COUNCIL CHAMBERS, WILLIAM STREET, PAEROA ON WEDNESDAY 7 DECEMBER 2011 COMMENCING AT 2.30 PM

CONFIRMATION OF MINUTES
THAT the minutes of the meeting of the Waihi Ward Committee held on Tuesday 15 November 2011 are confirmed and are a true and correct record.

MATTERS ARISING FROM THE MINUTES
Waihi Swimming Pool
It was noted that due to the high winds that the district has experienced of late, staff are having difficulty in keeping pool covers on the pool. At times of extreme winds staff are leaving the pool covers off at night, as there is a health and safety risk to staff and potential cover damage.
Pohutukawa Reserve Whiritoa
In response to a question of where the landscaping concept plan is at for the reserve, the Community Services Manager advised there are a number of planning issues related to the area that would need to be finalised first. He will present a report explaining these issues to a future meeting.
Cr Baker asked that a concept plan for the reserve be produced and made available to the Ward Committee and the Whiritoa Community.
The Community Services monthly report on activities was presented for the Committee’s consideration.
THAT the Community Services monthly report be received.

REQUESTS FOR FINANCIAL ASSISTANCE
ECHO Walking Festival 
A letter has been received from the Sport ‘n’ Action Development Officer seeking financial support towards promotion costs of the 2012 festival.
THAT the Waihi Ward Committee grants $500.00 to the Echo Walking Festival from the Waihi Ward Discretionary Fund in support of promotion costs for the 2012 Festival.

REQUEST FOR FINANCIAL ASSISTANCE: WAITAWHETA CAMP SOCIETY: FUNDING FOR WAITAWHETA WAR MEMORIAL HALL ROOF (830122)
The Community Development Officer presented correspondence received from a member of the Waitawheta Camp Society Committee seeking support of funding towards the reroofing of the hall building. Attached were two quotations received for the costs of this work.
THAT the correspondence and supporting information be received, and
THAT the Ward Committee grants $1,000.00 to the Waitawheta Camp Society to assist with the costs of reroofing the hall building, and
THAT the request also be referred to Council asking that funding be contributed towards the project from the District Fund.

PARKS AND RESERVES
Waihi Swimming Pool
The final costs to strip and paint the Waihi Pool are still being collected. As soon as contractors forward this information, staff will present this to the Ward Committee.
The pool lane ropes are due for replacement. New lane ropes would significantly help with the daily operation of the pool, separating lane and recreational swimming.
The newly formed Waihi Swim club has also indicated that they would be interested in being able to use these for club nights, and may be able to make a contribution towards new lane ropes.
The Parks and Reserves Manager provided a quote for replacement lane ropes for $6,174.00. The Wards consideration to funding the lane ropes was requested.
THAT the Waihi Ward Committee funding of $6,174.00 is granted to cover costs of new lane ropes for the Waihi Swimming Pool from the Waihi Ward Community Facilities and Recreational Development Fund.

Future Community Services Ward Report Topics
The Community Services Manager requested feedback from the members on the proposed changes to the monthly Ward reports.
The members supported the hall user statistics remain but considered that ‘users’ of the hall be included in the information.
It was agreed that cemetery statistics need only be reported twice a year and not on a monthly basis.
THAT the proposed changes be approved and implemented.
