MINUTES OF A MEETING OF THE PLAINS WARD COMMITTEE HELD IN THE COUNCIL CHAMBERS, WILLIAM STREET, PAEROA ON TUESDAY 15 JUNE 2010 COMMENCING AT 9.00 AM

CONFIRMATION OF MINUTES
THAT the minutes of the meeting of the Plains Ward Committee held on Tuesday 11 May 2010 are confirmed and are a true and correct record.

The Community Services monthly report on activities was presented for the Committee’s consideration.
THAT the Community Services monthly report be received.
PLWC10/44 Harris/Leonard CARRIED
The Corporate Services Manager advised he had met with the Ngatea Primary School regarding the installation of surveillance cameras. A discussion was held to assess what the school is wishing to achieve by the installation of the cameras. The school has been invited to view Councils surveillance systems to consider options of purchase, location of cameras and lighting at the proposed locations. Staff has also referred the school to Councils supplier for assistance.
REQUESTS FOR FINANCIAL ASSISTANCE
The President of the Club writes advising that they are currently planning to improve their clubroom facilities by adding another toilet, painting the building and adding a covered roof to the main entrance.
The club has been fundraising and seeks Council’s assistance with the shortfall of $5,500.
THAT the letter from Hauraki Plains Junior Soccer Club be received; and
THAT $1,450.00 is granted to the Hauraki Plains Junior Soccer Club from the Plains Ward Discretionary Fund.

Trust Waikato (566853)
The Chief Executive for Trust Waikato writes advising that they have purchased a piece of public art called "Holidays at Huntly" by acclaimed sculpture Peter Lange. The Trust would like to offer this art for public display around the region and asks if Council would be interested in having it in our district for a short period.
The members decided that if the other wards supported the proposal, they would also support that it be displayed in the Plains Ward at a location and date to be agreed upon.
PARKS, RESERVES AND COMMUNITY FACILITIES
Waitakaruru Toilet Block - Resurfacing Floor
A pamphlet was presented providing information on a proposed product to be used for the resurface of the toilet floors. It was advised that the product ‘Acraflex Hi-Build’ is suitable for concrete surfaces.
The members supported that the floor be resurfaced with the product described in the preferred colour of ‘Pearl Grey’.
Cr Gordon requested that staff communicate with the building contractor regarding the work required to reinforce the area under the stage to accommodate the mobile stage.
Hugh Hayward Domain Development
The Parks and Reserves Manager updated the members on the development project to date.
A letter received from the Hauraki Plains Netball Centre was presented which raised concerns regarding the locking of the gates to the courts, car parking, safety and maintenance issues caused by leaves falling onto the courts and the location of a lighting pole on the corner of the courts accessing the car park.
THAT the correspondence be received; and
THAT the Parks and Reserves Manager write to the Hauraki Plains Netball Centre advising that:
- The gates to the courts will be locked during the same hours as the public toilets.
- Car parking will be reviewed as the project develops.
- The Netball Centre considers purchasing a leaf blower to remove leaves from the courts and that they are advised that Council will not remove any trees.
- The lighting pole is the responsibility of the Netball Centre.
