CONFIRMATION OF MINUTES
THAT the minutes of the meeting of the Plains Ward Committee held on Tuesday 12 May 2015 are confirmed and are a true and correct record.

PLAINS WARD DISCRETIONARY FUND: REQUESTS FOR FINANCIAL ASSISTANCE
Kaiaua Bowling and Community Hall
In the 2015-25 LTP , $3,000 was granted to the Kaiaua Bowling Club & Community Hall Committee in 2015/16. This was to be a 1 year grant until a targeted hall rating area had been established.
Consideration was given to allocating funds towards the Kaiaua Bowling Club & Community Hall Committee in support of costs to operate the hall in 2014/15 rather than 2015/16 It was agreed that unallocated funds from the Discretionary Fund 2015-15 year be used for this purpose.
THAT $3,000 is granted from the Plains Ward Discretionary Fund to the Kaiaua Bowling Club and Community Hall Committee.

Jiading International Youth Friendship Camp
Consideration was given to allocating funds towards an applicant, Tyla Watford-McGraph wishing to attend the Jiading International Youth Friendship Camp programme from 4-10 August 2015. It was agreed that unallocated funds from the Discretionary Fund 2014-15 year be granted.
THAT $250.00 is granted from the Plains Ward Discretionary Fund to Tyla Watford-McGraph in support of her Participation in the Jiading International Youth Friendship Camp programme from 4-10 August 2015.

Plains Ward Discretionary Fund - Balance of Unallocated Funds
A discussion was held as to where the unallocated funds left in the Discretionary Fund for 2014-15 should go. It was agreed that they be transferred to the 2015-16 year.
THAT the balance of unallocated funds in the Plains Ward Discretionary Fund 2014-15 be transferred to the 2015-16 year.

Social Initiatives Scoping Project
Further to the project meeting held last year on the identification of social gaps in the Plains Ward, a SWOT analysis has been undertaken as was presented to the May Ward Committee meeting.
Councillor Leonard has recommended that the matter of social gaps in the Plains Ward be raised at the next Better Futures Hauraki meeting to see if any identifiable issue is raised by the members attending.
The next Better Futures Hauraki meeting is planned for July 2015.
Ngatea Town Gardens
Discussion was held as to the maintenance and standard of landscaping of the town gardens. It was agreed that staff and Ward members undertake a walk along the main street to look at the current plantings and identify those in need of upgrading. A suitable date in early July will be set for this walk.
Hugh Hayward Domain – Freedom Camping
The Parks and Reserves Manager updated the Committee on the issues identified at the freedom camping area behind the Plains Service Centre.
Ngatea Netball Courts – Water on Playing Surface
The Parks and Reserves Manager updated the Committee on the meeting held with Technical Services staff with regards to water pooling on the courts and solutions to remedy this.
Waitakaruru Domain – Projects Meeting
At the May Ward Committee meeting, it was agreed that the Parks and Reserves Manager and Councillor Harris would meet with the Waitakaruru Domain Committee to discuss planned and proposed projects on the Domain site. As a result of this meeting, an overall concept plan of the site will be developed to provide future direction for both Council and Waitakaruru Domain Committee. The draft plan will be presented to the Committee in the July.
Turua Domain – Freedom Camping Area
Cr Gordon raised concerns that the Turua Domain Committee is currently mowing the Domain overnight campervan parking area and has asked for a price for Council to undertake the mowing of campervan parking area and bring these costs to the next Ward Committee meeting in August.
The meeting closed at 9.46am.
