MINUTES OF A MEETING OF THE PLAINS WARD COMMITTEE HELD IN THE COUNCIL CHAMBERS, WILLIAM STREET, PAEROA ON TUESDAY 11 MARCH 2014 COMMENCING AT 9.00 AM

There were no apologies.
Pursuant to Section 46A(7) of the Local Government Official Information and Meetings Act 1987, the Chairperson called for late items to be accepted.
THAT pursuant to Section 46A(7) of the Local Government Official Information and Meetings Act 1987, the following late items be accepted for discussion.
- Plains Ward – Commendation of Sporting Achievements
The item was not on the agenda because the item was unavailable at the time of the agenda deadline.
Discussion on the item could not be delayed because the Chairperson required the support of the Ward Committee to acknowledge the recipients as soon as possible,

CONFIRMATION OF MINUTES
THAT the minutes of the meeting of the Plains Ward Committee held on Tuesday 11 February 2014 are confirmed and are a true and correct record.
PLWC14/10 Harris/Swales CARRIED
The Community Development Officer’s monthly report was presented for the Committee’s consideration.
Requests for Financial Assistance [CDV-30-100]
Hauraki Plains Co-operating Parish 
The Community Garden Coordinator for the parish has written seeking assistance with the mowing of the area around a section that is used as a community garden.
A costing for a bi-weekly mow is $42.00 per mow.
THAT the Community Development monthly report be received, and
THAT the correspondence from Hauraki Plains Co-operating Parish be received, and
THAT the request from the Hauraki Plains Co-operating Parish requesting that mowing of the area around a section that is used as a community garden is declined and that the group be advised of this decision.

The Community Services monthly report on activities was presented for the Committee’s consideration.
THAT the Community Services monthly report be received.
PLWC14/12 Gordon/Swales CARRIED
Ngatea Ward Recreational Reserves Projects
Cr Gordon advised that the cricket pitch in Hugh Hayward Domain requires topping up.
Future Invited Speakers
NZ Police – have been invited to attend April meeting.
Other future speakers:
Businesses such as Super Yacht Building Company – Pipiroa
Waikato Regional Council – it was suggested WRC representatives be invited to a Council meeting to present an update on the recommended effluent disposal systems for the district dairy farms.

Update on Cycleway (patronage of the trail, significant issues) - Adrian de Laborde
Ngatea Ward Town Centre – Projects 2013-14
A member requested that staff provide an update report on Ngatea Main Street gardens to the April meeting. Staff to follow up
Dump station at rear of Service Centre – a concern was raised that the general public are parking in the dump station area. To be investigated during the Ward Committee tour.
LATE ITEMS OF BUSINESS
PLAINS WARD – COMMENDATION OF SPORTING ACHIEVEMENTS
At the Ngatea Hall and Domain Management Committee meeting the members wished to inform the Ward Committee of the recent sporting successes of:
Keegan Harris – Touch NZ U15 Mixed Team – to travel to Queensland Australia
Shyanne Thompson – Touch NZ Elite Academy
Viraj Kumar – Touch NZ Academy.
THAT the Plains Ward Chair write to congratulate Keegan Harris, Shyanne Thompson and Viraj Kumar on their sporting achievements.
PLWC14/13 Leonard/Swales CARRIED
The Chairperson presented a report on the pre-consultation phase of the 2015-25 Hauraki Long Term Plan with the Plains Ward communities.
The members supported the proposed initiative that pre consultation meetings are held at locations within the Plains Ward communities.
The Strategic Planning Projects Manager and Strategic Planner were in attendance to provide feedback on the suggested options as regards to locations and dates for this pre-consultation phase of the Hauraki Long Term Plan.
THAT the Plains Ward Committee approve that the Hauraki Long Term Plan 2015-25 pre-consultation meetings are with the Plains Ward communities, and
THAT the Chairperson of the Plains Ward Committee, Cr Leonard discusses resourcing and meeting schedules of these meetings with the Strategic Planning team.
