MINUTES OF A MEETING OF THE PLAINS WARD COMMITTEE HELD IN THE COUNCIL CHAMBERS, WILLIAM STREET, PAEROA ON TUESDAY 16 MARCH 2010 COMMENCING AT 9.00 AM

Pursuant to Section 46A(7) of the Local Government Official Information and Meetings Act 1987, the Chairperson called for late items to be accepted.

- Request for Funding Assistance: Thames Valley Hockey Association
The item was not on the agenda because the item was unavailable at the time of the agenda deadline.
Discussion on the item could not be delayed because approval of funding towards the organisation required confirmation before the next meeting.

The Community Services monthly report on activities was presented for the Committee’s consideration.

REQUESTS FOR FINANCIAL ASSISTANCE
Turua Scout Group 
A request from the Group Leader for assistance with the upgrade of their kitchen has been received.
THAT financial assistance of $2,560.00 be give to the Turua Scout Group for the upgrade of the kitchen at the Scout Den; and
THAT the funding be provided from the Community Facilities Recreational Development Fund.

PARKS AND RESERVES
Hugh Hayward Domain – Skate Park
A further quote from Andrews Landscaping for the construction of the skate park was presented.
THAT the quote submitted from Andrews Landscaping Ltd to construct the skate park at $59,000 (plus GST) be accepted.

Hugh Hayward Domain – Park Development
Prices for the playground equipment have been received. Because of the short time frame for delivery and construction, the Parks and Reserve Manager will meet with Plains Advisory Group as soon as possible to make a decision about the playground equipment. The suggested meeting time was Thursday 18th March at 8.30am at the Ngatea Service Centre.
The Parks and Reserve Manager reported on the vandalism at the new netball courts. Cameras are being considered as a preventative measure to vandalism. Costs for their installation will be presented at the next meeting.
Waitakaruru Domain – Mowing
A request has been received from the Hauraki North Rugby Club seeking financial support towards the cost of mowing the rugby field.
THAT funding assistance of $1,000 be given from the Plains Ward Discretionary Fund; and
THAT $5,000.00 be included in the Ward rates from 1 July 2010.

Kaihere Domain – Illegal Structure
A complaint has been received regarding the construction of an illegal structure and garden which has been installed on the Kaihere Domain.
The structure and garden on the Kaihere Domain is contrary to the Reserve Act and should not be allowed.
A decision was made to take the complaint to the Kaihere Community Committee to discuss. The outcome of this meeting will be reported back to the next Ward Committee meeting in April.
Request for Funding Assistance -Thames Valley Hockey Association
A letter has been received from the Thames Valley Hockey Association requesting financial assistance towards the purchase of paint for the hockey centre building and perimeter fence to improve the appearance of the complex for the upcoming centennial celebrations.
THAT a grant of $1,000.00 be approved to the Thames Valley Hockey towards the painting of the hockey centre building and the perimeter fence.
