MINUTES OF A MEETING A MEETING OF THE PLAINS WARD COMMITTEE HELD IN THE COUNCIL CHAMBERS, WILLIAM STREET, PAEROA ON TUESDAY 11 MAY 2010 COMMENCING AT 9.00AM

The item was not on the agenda because the item was unavailable at the time of the agenda deadline.

MATTERS ARISING FROM THE MINUTES

Surveillance Cameras

Cr Gordon reported that Ngatea Primary School have advised they are having issues with vandalism. The Principal of the school has asked if they can work with Council in installing equipment on a cost benefit basis.

After further discussion, the Committee supported working with the school in planning and installing surveillance cameras on this basis.

RESOLVED

THAT staff communicate with the Principal of Ngatea Primary School regarding the possible opportunities to purchase and install surveillance cameras on a cost benefit basis.

Request for Financial Assistance - Ngatea Rugby Sports Club

A member commented that the Ngatea Rugby Sports Club have advised that they have not yet received the grant of funding of $1,000.00 allocated to them at the Plains Ward meeting of 11 August 2009. It was requested that the Community Development Officer follow the matter up.


Waitakaruru Toilet Block

It was requested that the Community Facilities Manager follow up the resurfacing of the toilet floors as soon as practicable.


Hauraki Plains Lioness Club – Priory Award St Johns

The Hauraki Plains Lioness Club has received a Priory Award from the St Johns Association, and the club would like to display the framed certificate in the War Memorial Hall.

After discussion, it was approved that the award be displayed in the hall and that Cr Leonard and the Community Facilities Manager visit the hall and decide on the most suitable location for its display.

RESOLVED

THAT the request be approved; and

THAT Cr Leonard and the Community Facilities Manager meet at the hall to decide where the Hauraki Plains Lioness Club – Priory Award should be displayed.

Kaihere Domain: Occupation of Area of Domain by Neighbouring Property Owner

At the Council Meeting of 28 April 2010, the item regarding an illegal structure which has been installed on the Kaihere Domain was withdrawn. The purpose of the withdrawal was due to a request from Cr Gordon that further discussion be held with the Plains Ward Committee on the matter.

Upon further discussion and clarification on the matter, the previous decision made at the Ward meeting of 13 April 2010 that the structure be removed is upheld and the time frame for its removal be extended to 1st November 2010.

RESOLVED

THAT the previous decision made at the Ward meeting of 13 April 2010 that the structure be removed is upheld; and

THAT the landowner be requested to remove the structure by 1st November 2010.

The District Engineer was requested to visit the site and recommend the appropriate action to correct flooding problems due to a lack of drainage at the boundary of the Domain and the landowner’s property.

It was suggested that the District Engineer work with the landowner when the structure is being dismantled to ensure that the issues of drainage have been addressed.

THAT the District Engineer visit the site and recommend the appropriate action for Council to take to correct flooding problems due to the lack of drainage at the boundary of the Domain and the landowner’s property.

LATE ITEMS OF BUSINESS

SH2 – Ngatea Township Roading Issues

The District Engineer raised as a late item concerns expressed in an email from Cr Gordon to the Roading Manager regarding the unacceptable standard of maintenance of the carriageway surface and car parking areas through the main street of Ngatea.

The Roading Manager advised he has spoken with Alan Burkett of New Zealand Transport Agency NZTA requesting clarification on what works are being done and under what category i.e. ‘road safety’ or ‘maintenance’.

The members requested that the concerns of the Committee be communicated to NZTA and that the request be made on behalf of the committee that the car parking areas in the Ngatea main street are maintained to a similar standard as the carriageway.

RESOLVED

THAT NZTA be approached by the District Engineer to ensure that the parking areas are maintained to a similar standard as the carriageway.
